Welcome to White Poppy Psychology, an online psychology practice offering personalised,

holistic care. By proceeding with payment or engaging our services, you agree to these

Terms and Conditions.

Acceptance and Changes

White Poppy Psychology may update these Terms at any time without notice. Changes take

effect immediately upon posting. It is your responsibility to review the Terms. Continued use

signifies acceptance.

Definitions

“You,” “the client,” or “the user” refers to you as the recipient of services. “White Poppy

Psychology,” “we,” “our,” refers to White Poppy Psychology and its psychologists.

Eligibility for Services

Our services may not be suitable if:

• You need urgent or emergency help

• You are under the influence of drugs or alcohol

• You have active suicidal thoughts or pose a risk to yourself or others

• You have a psychotic disorder

Clients outside Australia will be assessed case-by-case, as legal and insurance limits may

apply.

Age and Consent

You must be 18 or older, or have parental/legal guardian consent if under 18. The guardian

must provide their details and confirm consent by email before the first session. Guardians

accept legal responsibility for underage clients.

Right to Refuse Services

We reserve the right to refuse, limit, or withdraw services at our sole discretion at any time.

Appropriate Use

You agree not to use our services to:

• Share illegal, offensive, or harmful material

• Infringe on others’ rights

• Misrepresent yourself

• Violate laws or internet protocols

Client Responsibilities

You agree to:

• Provide accurate, relevant information

• Behave respectfully

• Make your own informed choices

We do not accept liability for your decisions or outcomes resulting from them.

Intellectual Property

All website content and materials are owned by White Poppy Psychology. You may view and

print copies for personal use only. Reproduction or redistribution without permission is

prohibited. You agree to indemnify us for any breach of intellectual property laws.

Appointments

• Sessions are online; card details are required at booking.

• Medicare rebates require a valid Mental Health Care Plan (MHCP) emailed before the

first session.

• Bulk billing is limited and subject to availability.

• GP reviews are required before the 7th session under a MHCP.

• Confirmed bookings only. We may cancel unconfirmed bookings.

Cancellation and Non-Attendance Fees

• Cancelling 24–48 hours before: 50% of the fee.

• Cancelling within 24 hours: 100% of the fee.

• Non-attendance without cancellation: 100% of the fee.

• Bulk billed clients are not exempt from cancellation fees.

• Three consecutive missed/cancelled sessions may result in discontinuation of

services.

Payment Policy

• Payment is online via credit/debit card, processed after your session.

• Invoices are emailed to you.

• Halaxy is our secure payment platform. Additional processing fees may apply.

• Unpaid invoices may be sent to debt recovery services (with additional fees).

Disclaimer

Use of our services and website is at your own risk. Except as required by law, we accept no

liability for any losses or damages resulting from use of our services or website.

Website Availability

We provide our website “as is” and “as available.” We do not guarantee error-free or

uninterrupted access. You acknowledge potential errors, downtime, or security risks (e.g.,

viruses).

Third-Party Links

Our website may link to external sites. These links do not imply endorsement. We are not

responsible for third-party content or practices.

Jurisdiction

These Terms are governed by Queensland law. Both parties submit to the exclusive

jurisdiction of the courts of Queensland.

We provide the APS Charter for Clients of Psychologists, outlining your rights as a client.
